Six steps to a working, audit-defensible ClearDCAA workspace. Most contractors finish steps 1–3 in under an hour.
1. Create your organization
Sign in, then open Settings and enter your legal name, EIN, CAGE code, and cognizant DCAA/ACO office. These values feed every generated schedule and submission packet.

Link QuickBooks or import a trial balance / general ledger export. This populates your cost pools, direct costs, and unallowable account mapping.

Walk the pre-award accounting system checklist. Each item shows what an auditor expects and what evidence you still need before a pre-award survey.
Run SF 14084. Set up timekeeping and labor
Add employees, labor categories, and charge codes, then have staff record daily time. Edits are captured with a reason code for DCAA audit trail requirements.

Review indirect pools and wrap rates, work the ICS adequacy checklist, and attach supporting documents as evidence packets before export.

- What does the 14-day trial include?

- Can I invite my accountant or CPA?
- Yes. Invite them with the auditor role for read-only access to schedules, evidence, and audit logs without the ability to change records.
- How is my data secured?
- Every table is isolated by organization with database-level row-level security, encrypted at rest and in transit, with an append-only audit log of every change.
- Do I need my accounting system connected to start?
- No. You can run SF 1408 readiness and timekeeping first, then import your general ledger when you're ready to build indirect rates and the ICS.
- How does the AI receipt screener work?
- Upload or snap a receipt or invoice. AI reads the vendor, amount, line items, and expense type, then flags FAR 31.205 risks like alcohol, entertainment, lobbying, or personal costs. It suggests an allowability decision and writes an audit-trail note.
- Do I need to connect QuickBooks or accounting software to start?
- No. You can run SF 1408 readiness and timekeeping first, then import your general ledger or connect QuickBooks when you’re ready to build indirect rates and the ICE.
- What happens when the 14-day trial ends?
- Your workspace becomes read-only until you subscribe. Your data is never deleted and you can export everything at any time.
